We have a diverse and talented team of employees who come to us from many kinds of backgrounds.  We have an immediate need for a talented Office Coordinator to work in our new Chicago office and report to our VP of HR. 

Overview offers great opportunity for personal growth and a challenging and exciting work environment.  We’re looking for a detail-oriented, reliable, personable team player to manage the day-to-day operation and administration of our brand new Chicago office.  The Office Coordinator is responsible for ensuring our office runs smoothly and efficiently by managing office supplies, kitchen supplies, and meal orders, plus supporting Human Resources, Marketing, Finance, and other departments with various administrative tasks as they arise.

As a representative of the company, the Office Coordinator must have a professional appearance and demeanor, with excellent written and verbal communication skills. The ability to handle multiple tasks simultaneously, manage deadlines, and resolve conflict is important. The Office Coordinator must also be team-oriented, as a key player in the successful running of the office's operations. This is an on-site position during normal business hours.


  • Greet visitors, answer incoming calls, direct visitors and callers to the appointments or the appropriate personnel to meet their needs;
  • Act as the company’s liaison to building management for maintenance issues such as changing fuses, light bulbs, temperature control, and general repairs throughout the office;
  • Manage office supplies and special orders, including researching, ordering, inventorying, tracking, and stocking products;
  • Coordinate office, kitchen, and meal orders (Peapod, monthly birthday cake, weekly breakfasts and lunches), manage and stock the inventory of office and kitchen supplies (manage the order process, pick-up supplies, set up, clean up, and replenishment of all food orders;
  • Perform various administrative tasks, such as shipping, copying, performing mail merges, printing mailing labels, and organizing the general office areas;
  • Coordinate repairs and service calls with third party vendors to ensure printers, copiers, etc. remain in working condition. Perform minor maintenance and repairs as necessary;
  • Assist the Finance department with some light bookkeeping tasks
  • Assist the Tech team with new hire computer set up and resolving minor computer, phone, and network issues.


  • 1-2 years of general office experience
  • High School Diploma or GED
  • Self-motivated and able to take the initiative to resolve problems as they arise
  • Strong interpersonal skills and a friendly, customer service mindset
  • Excellent written and verbal communication skills with the ability to communicate across all levels of the organization
  • Excellent time management and organizational skills with the ability to prioritize projects effectively
  • Computer literate, with proficiency in Microsoft Office programs, especially Outlook, Word, and Excel
  • Security conscious and discrete
  • Able to lift 25lbs regularly.
